Versions
Every publish is saved as a version. See what changed, test an old version, restore it or put it live again.
How versions work#
Every time you publish, Officely saves that version of the chatbot: its steps, its settings and the AI flow versions it used. Click Versions at the top of the builder to see them, newest first.
Each version shows its number (v1, v2 …), when it was published and by whom, and your What changed? note if you added one. The version customers get now is marked Live.
Some versions carry a tag:
- By the assistant: published by the Assistant.
- Through the API: published from your own systems.
- Set up for you: created during onboarding.
- Restored from v3: an older version that was put live again.
See what changed#
Click a version to open it. Officely compares it in plain words, for example:
- Added step 'Opening hours'
- Changed text in 'Welcome'
- 'Main menu' > Prices now leads to 'Price list'
- AI flow 'Support': v4 to v5
- Changed Appearance
What it's compared with depends on the version:
- An older version is compared with what's live now (What changed since v3 (now live)).
- The live version is compared with your draft (Your draft compared with the live version), so you can see what you haven't published yet.
Steps that only moved on the canvas are counted in one line, so real changes stand out. Long lists show the first few, with Show more.
What you can do with a version#
| Button | What happens | Customers |
|---|---|---|
| Preview | Runs that version in the test chat. A banner says Previewing v3. Nothing is saved. | Not affected |
| Restore to draft | Puts that version on your canvas so you can check it and change it. | Keep the live chatbot until you publish |
| Publish this version | Puts that version live right away. It's saved as a new version. | Get it immediately |
| Duplicate as new chatbot | Creates a new draft chatbot from that version. Open it to work on it. | Not affected |
Publish this version is greyed out on the version that's already live.
Roll back a bad change#
- 1
Find the last good version
Open Versions and click versions until you find the one that worked. Use Preview to be sure.
- 2
Publish it
Click Publish this version, then Publish v3 in the confirmation. Customers get it right away.
- 3
Check the AI flows
If the version used AI flows, the confirmation lists them: they go back to the versions that chatbot version used, and their drafts are replaced too.
Prefer to fix things first? Use Restore to draft instead, make your changes, and publish when you're ready.
Undo a restore#
Restoring never loses your work. Before a restore or a rollback replaces your draft, Officely keeps the old draft as a backup.
- Right after a restore, click Undo in the message at the top of the panel.
- Later, find it under Draft backups at the bottom of the panel and click Restore.
When you restore a version to the draft, AI flows keep their current drafts.
Write good notes#
When you publish, What changed? is optional, but a short note makes the history much easier to read later. Keep it under 500 characters.
| Instead of | Write |
|---|---|
| update | New opening hours for summer |
| fix | Order number question now accepts letters |
| changes | Added Talk to a person after the main menu |
How long versions are kept#
Officely keeps the last 30 versions or 90 days of versions, whichever is more. Versions with a note are always kept. The exact rule for your account is shown at the bottom of the Versions panel.
Common problems#
| What you see | What to do |
|---|---|
| No versions yet | Versions start with your first publish. Publish the chatbot and v1 appears. |
| This version can't go live exactly as it was | An AI flow it used was deleted or that AI flow version is no longer kept. Click Restore to draft instead, check the AI step, then publish. |
| A note about comparing with the saved chatbot | The chatbot was published before version history was on, so the oldest comparison is approximate. |
| Wait for your changes to save, then open the copy. | Your draft is still saving. Wait for Saved, then click Open it. |
